Questions about the start of teaching / timetables

When can I see my timetable?

On 3 August we email students telling them the date, time and venue of their first lesson in early September.
16-18 years old students on full-time courses will normally be given their timetable on their Induction Day in the first week of September.
Please don’t contact the college before this week to ask for your timetable because individual timetables will not yet be finalised.
Adults on part-time courses will normally be emailed their timetable in the week before their first lesson.

When is my first day at college?

We will email students on 3 August with the date, time and venue of your first day at college. This information will also be published on your Application Tracker page.
This Starting Information email will also inform you if you need to attend an enrolment appointment at college the week before the start of teaching.
16-18 year old students who are new to college will normally be asked to attend an enrolment appointment in the first week of September . Their first day of teaching (Induction Day) will normally be in the second week of September.
Adults can also see the date of their first lesson on the course information page of the college website.
Please don’t contact the college before 3 August to ask for your precise start date because it will not yet be finalised.

Questions about your application and courses

Can I change the course I have applied for?

Don’t worry – many students decide they want to change courses.
You should start by researching the new course carefully by looking at the course information pages on our website.
If you are sure you want to change, just go to our website, choose your course and complete a new application.
It may be difficult for us to agree course changes over the summer holiday because teaching staff are not always available. We may invite you to attend our YES event at the start of the Autumn Term, to discuss your application. See our website for more information about YES events.
If you want to study a similar course to the one you have already been offered, and you have met the entry requirements, it is best for you to attend your enrolment appointment at the start of term. Teachers will be available to help you consider your options and can agree course changes then.

Can I still apply?

We are still taking applications and will do our best to find spaces for late applicants who meet our entry requirements.
If you have not applied already, just go to our website, choose your course and complete a new application.
It may be difficult for us to interview you over the summer holiday because teaching staff are not always available. We may invite you to book an appointment at one of our YES events in early September. At YES day you will be interviewed by a course leader who will discuss with you the courses that still have spaces.

I haven’t met the entry requirements for my course

If you have an enrolment appointment, it is important that you still come to that appointment, where we can discuss your options with you. We have a wide range of courses and may be able to offer you a place on another course.
If you don’t have an enrolment appointment, the safest thing to do is apply for an alternative course which you do have the entry requirements for. We will then invite you to one of our YES events at the start of September. At the YES event you will be interviewed by a teacher for the new course and can also discuss your original application.
The Admissions team are not able to make decisions about entry requirements or course changes – these will need to be discussed with a teacher, normally when they return after their summer break.

Will I also be studying English and Maths

If you are aged 16-18, there will be a Maths and English desk to speak to when you come in to enrol at the start of the Autumn term. They will be able to answer all your questions.
Students who are 16-18 are normally required to study Maths and English at college if they haven’t yet achieved GCSE grade 4 or Functional Skills Level 2..
Your Maths and English class will be at a time that fits alongside your main course.

I have decided not to come to your college

If you have decided not to study a particular course, please email the following address, stating your name, student number and course name.

Please be aware that August – September is an extremely busy period for the Admissions team and there may be a delay in removing you from our system. As a result, you may continue to receive automated emails for a while.
If you are no longer planning to study with us, please ignore any further automated emails you receive.

I want to accept my place at the college

Don’t worry if you haven’t accepted your place. If we have sent you an offer of a place, we will assume you are coming, unless you tell us you have decided to withdraw.
If you want to accept a place, please log in to your Application Tracker account here: CCG Application Tracker.
First select your application you want to accept, then click on the Accept button.

Questions about Application Tracker and the Pre-enrolment form

I haven’t received the pre-enrolment email.

We send pre-enrolment emails to all students starting new courses in September. These emails are sent out during June.
If you are continuing with two-year courses such as T Levels and A Levels, you do not need to pre-enrol and will not receive the email.
If you cannot find our email asking you to pre-enrol, please check your spam and junk folders first. Please also try searching for an email called ‘Pre-enrol now’. These emails are sent from Enrolments@chigroup.ac.uk.
If your pre-enrolment email has not arrived by the 1 July, please email the following address, stating your name, date of birth, student number and the difficulty you are having..

I cannot log in to Application Tracker

We are sorry you are having difficulties. Here are some suggestions that may help:
- If our pre-enrolment email included an Activation Key, have you been careful to copy it to the login page without including spaces?
- If you already have a password for Application Tracker, have you tried resetting it? Are you using the email which you originally used to create your Application Tracker account?

Questions about costs – course fees, loans sponsorship, online store

How do I pay my course fees?

Any fees for your course will be confirmed when you complete your pre-enrolment form. We email this form out to applicants in June and send regular reminders.
The course fees will vary according to the nature of the course and your personal circumstances.
The pre-enrolment form will explain the payment options for your course.
Your enrolment on the course is not secured until your course fees have been paid or a loan confirmed.

How do I apply for the Advanced Learner Loan?

In June we send pre-enrolment emails to all students starting college in September. To find this email, search your inbox for an email from us called ‘Pre-enrol now’. Loan information is at the bottom of the email.
If you are eligible for the Advanced Learner Loan, your pre-enrolment email will provide a link to the government website and all of the instructions you will need to apply.
If your pre-enrolment email does not include information about the Advanced Learner Loan, this means that you or your course is not eligible for the loan.
Note: We advise all applicants to complete the pre-enrolment form first to find out whether you need to apply for a loan. Many students qualify for funding without a loan because of their personal circumstances or educational background.
When you have completed pre-enrolment, we will email you if there are fees to pay. If you decide to apply for an Advanced Learner Loan, you are advised to apply for the loan as early as possible to ensure that is in place by the start of your course. When we have received confirmation from the government portal that your loan is approved, we will complete your enrolment.

How do I arrange for my sponsor to pay my course fees?

If you have a sponsor who will be paying your course fees, you will be asked to provide your sponsor’s details when you complete your pre-enrolment form.
We will email you a Sponsorship form and ask you to forward it to your sponsor. They should complete the form and return it to our enrolment team. Your sponsor will then be invoiced for the course fees.
When we have received the signed sponsorship form, we will complete your enrolment.

How do I make a purchase on the Online Store

Our Online Store can be found here: CCG Online Store
(You can also find it from the college website. Go to the college website and click on ‘Staff and Student Links’ at the top of the screen. Then click on ‘Online Store’, then ‘Find out more’. This will take you to the home page.)
From the Product Catalogue, select your college and then click on the item you want to purchase.
Add the item to your basket. Then click on your ‘Shopping Basket’ and then ‘Proceed to Checkout’.
If you have not used the store before you will need to register. This involves creating a password, and adding your personal and address details.
Your Student Number / ID is your unique college number. This is included in the admissions and enrolment emails we have sent to you. You can also find it by logging in to Application Tracker here: CCG Application Tracker.
Remember to tick the ‘I am human’ box.
You will then be asked to complete the purchase as normal, using your payment details.

Can I use the Learning Support Grant to pay for compulsory items I have been told to buy from the Online Store

Yes, if you receive the Learning Support Grant, this can contribute to the cost of any compulsory purchases you have been asked to make from the Online Store. If you have not been awarded the LSG yet, please retain the receipt as you may be eligible for a reimbursement.
The Learning Support Grant may not cover the cost of the whole item, depending upon how expensive it is. You can discuss this with staff at your enrolment appointment.
